Privacy Policy

Last updated: September 11, 2026

This Privacy Policy explains how Manifold, Inc. ("Manifold," "we," "our," or "us") collects, uses, discloses, and protects information when you visit our website, contact us, or use our products and services (together, the "Services"). It also describes the choices and rights you have with respect to your information.

Manifold provides software to dealership service departments. When a customer dealership uses our Services, we generally process information on that dealership's behalf as a service provider / processor. The dealership controls how that information is used. If you are an employee, technician, customer, or other individual whose information is provided to us by a dealership, please direct questions about that processing to the dealership in the first instance.

Information We Collect

We collect the following categories of information:

  • Account information. Name, work email, phone number, role, and dealership affiliation when you create an account or contact us.
  • Service-floor recordings and content. Audio dictation, video, photographs, and transcripts captured by technicians, advisors, and other dealership personnel using the Services.
  • Repair-order and operational data. Repair-order records, vehicle and customer data, technician identifiers, labor times, warranty submissions, and related data integrated from a dealership's DMS or entered directly into the Services.
  • Usage and device data. IP address, device type, browser, pages viewed, actions taken, timestamps, and similar log data.
  • Communications. Messages you send to us, including support requests and survey responses.
  • Marketing-website data. Information from forms you submit (e.g., demo requests), along with information collected through cookies and similar technologies on our website.

How We Use Information

We use information to:

  • provide, maintain, and improve the Services;
  • generate AI-assisted outputs such as transcripts, structured repair-order documentation, warranty narratives, advisor briefings, and customer communications;
  • secure the Services, prevent fraud and misuse, and investigate suspected violations;
  • respond to support requests, communicate with you, and provide account notices;
  • operate our website, send marketing about our Services where permitted, and measure marketing performance;
  • comply with legal obligations, defend our legal rights, and meet regulatory or audit requirements;
  • produce de-identified, aggregated analytics and benchmarks that do not identify any individual, dealership, or customer.

AI and Model Processing

The Services include AI-driven features. Audio, video, transcripts, and repair-order content are processed by speech-to-text and large language model systems to produce structured outputs. We do not use customer dictation, recordings, or repair-order content from paid Services to train models that are made generally available outside of your dealership without your dealership's written authorization. AI outputs may contain inaccuracies; users should review AI-generated documentation before relying on it for warranty submissions, customer communications, or other operational decisions.

How We Share Information

We share information only as described below:

  • With your dealership. Information generated through the Services is made available to the dealership that operates the relevant account.
  • Service providers. Vendors that help us operate the Services, including cloud hosting, speech-to-text, model inference, analytics, error monitoring, and customer support tools. These providers process information on our behalf under contractual confidentiality and security obligations.
  • DMS and OEM systems. Where you direct us to integrate, we exchange information with your dealer management system, OEM warranty systems, and similar third-party systems.
  • Corporate transactions. In connection with a merger, acquisition, financing, reorganization, or sale of assets, subject to appropriate confidentiality protections.
  • Legal and safety reasons. Where required by law, legal process, or to protect the rights, property, or safety of Manifold, our customers, or others.
  • With your consent. For any other purpose disclosed to you with your consent.

We do not sell personal information.

SMS / Text Messaging

If you provide your mobile phone number to sign in to the Services, we will send you a one-time verification code by SMS text message to authenticate your sign-in. Messages are sent only when you enter your phone number and request a code. Message frequency varies and depends on how often you sign in; typically one or two messages per sign-in. Message and data rates may apply.

Mobile phone numbers and SMS opt-in consent are not shared with, sold to, or rented to third parties or affiliates for marketing or promotional purposes. We share phone numbers only with the telecommunications service providers that deliver the message on our behalf, as described above.

You can opt out of SMS messages at any time by replying STOP to any message you receive from us. Reply HELP for help, or contact us at privacy@manifoldops.com. If you opt out, you will no longer be able to sign in by phone number and should use email sign-in instead.

Cookies and Similar Technologies

Our website and product use cookies, local storage, and similar technologies to keep you signed in, remember preferences, secure the Services, measure usage, and operate marketing campaigns. You can control cookies through your browser settings. Disabling cookies may affect how parts of the Services function.

Data Retention

We retain information for as long as needed to provide the Services and for the legitimate business purposes described in this Policy, including legal, tax, audit, security, and dispute- resolution obligations. Specific retention periods vary by data type and contract. When information is no longer needed, we delete or de-identify it according to our retention schedule.

Security

We use administrative, technical, and physical safeguards designed to protect information against unauthorized access, loss, misuse, or alteration. These include encryption in transit and at rest, access controls, audit logging, and regular review of our security practices. No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security.

Your Choices and Rights

Depending on your location, you may have rights regarding your personal information, including the right to access, correct, delete, or port your information, restrict or object to certain processing, and withdraw consent. Where Manifold processes information on a dealership's behalf, please direct your request to the dealership; we will assist them in responding.

To exercise rights with respect to information Manifold controls directly (for example, marketing data on our website), contact us at privacy@manifoldops.com. We may need to verify your identity before responding. We will not discriminate against you for exercising your rights.

California Privacy Rights

If you are a California resident, the California Consumer Privacy Act ("CCPA"), as amended, gives you specific rights regarding personal information we control directly, including the rights to know, delete, correct, and limit use of sensitive personal information. We do not sell or share personal information for cross-context behavioral advertising as those terms are defined under the CCPA. To exercise your CCPA rights, contact us at privacy@manifoldops.com.

International Transfers

Manifold is based in the United States, and information we process may be transferred to, stored, and processed in the United States or other countries that may have different data-protection laws than your jurisdiction. Where required, we put in place appropriate safeguards for such transfers.

Children

The Services are intended for business use by dealerships and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us at privacy@manifoldops.com so we can delete it.

Third-Party Sites and Services

The Services may link to or integrate with third-party sites, applications, and services that we do not operate. This Policy does not apply to those third parties. We encourage you to review the privacy notices of any third party before providing information to them.

Changes to This Policy

We may update this Policy from time to time. If we make a material change, we will provide reasonable notice (for example, by updating the "Last updated" date and, where appropriate, by additional notice through the Services). Continued use of the Services after the effective date of an update constitutes acceptance of the updated Policy.
